Proposals

Managing building assets isn’t just about tracking what you have - it’s about planning what comes next. The Proposals feature helps you model changes before making them.

Without Proposals:

  • Changes happen ad-hoc with no planning trail
  • Carbon impact of replacements is calculated after the fact
  • No way to compare alternatives before deciding
  • Stakeholders review changes after they’re already made

With Proposals:

  • Model replacement scenarios before implementing
  • Calculate carbon and cost impact upfront
  • Get approval before committing resources
  • Track proposals through review and implementation

Plan various types of changes to your estate:

  • Asset Replacement - Replace aging equipment with more efficient alternatives
  • Site Improvement - Upgrades affecting entire sites
  • Operational Changes - Process or workflow improvements
  • Compliance Updates - Changes required for regulatory compliance
  • Maintenance Scheduling - Planned maintenance programs

Each proposal includes impact assessments:

Impact TypeWhat It Measures
Carbon ImpactProjected change in carbon footprint (tonnes CO2e)
Cost ImpactEstimated costs and potential savings
Risk ScoreImplementation complexity and potential issues
DependenciesOther work that must happen first or alongside

Example: “Replace 50 fluorescent fixtures with LEDs”

  • Carbon Impact: -12.5 tonnes CO2e per year
  • Cost: £15,000 upfront, £3,200 annual savings
  • Risk: Low (straightforward installation)
  • Dependencies: None

Proposals move through a clear lifecycle:

Draft → Submitted → Under Review → Approved → Implemented
Rejected (with feedback)
  • Draft - Work in progress, not yet ready for review
  • Submitted - Ready for stakeholder review
  • Under Review - Being assessed by approvers
  • Approved - Green-lit for implementation
  • Rejected - Declined, with reasons documented
  • Implemented - Work completed

The most common use of proposals is planning asset replacements. Here’s how it will work:

Choose which existing assets you want to replace. The system shows:

  • Current asset specifications
  • Age and condition
  • Historical maintenance costs
  • Current energy consumption

Browse catalogues to find replacement options:

  • Compare energy efficiency ratings
  • See carbon footprint differences
  • Calculate payback periods

Define which new equipment replaces which old equipment:

Retiring Asset → Replacement Listing
HVAC Unit A (15 years) → High-Efficiency Heat Pump
HVAC Unit B (15 years) → High-Efficiency Heat Pump
HVAC Unit C (12 years) → (Keep - still efficient)

See the total impact across all proposed changes:

  • Combined carbon reduction
  • Total cost and payback period
  • Implementation timeline
  • Risk factors

Package the proposal for stakeholder review with all supporting data.

Situation: Your office building has 200 fluorescent light fixtures. Energy costs are high and maintenance is frequent.

Proposal approach:

  1. Create “Asset Replacement” proposal
  2. Select all fluorescent fixtures on floor plans
  3. Choose LED replacement from catalogue
  4. System calculates:
    • 40% energy reduction
    • £8,000 annual savings
    • 18-month payback
  5. Submit with photos of current fixtures

Situation: Three buildings need boiler replacements within 2 years.

Proposal approach:

  1. Create three related proposals (one per building)
  2. Link them as a programme
  3. Phase implementation:
    • Year 1: Building A (most critical)
    • Year 1.5: Building B
    • Year 2: Building C
  4. Show combined carbon savings across programme

Situation: New regulations require upgrading fire safety equipment.

Proposal approach:

  1. Create “Compliance Update” proposal
  2. List affected assets by regulation requirement
  3. Identify compliant replacement options
  4. Document compliance deadline
  5. Submit with regulatory reference

When Proposals launches, you’ll be able to:

Model Changes

Plan equipment replacements with full impact analysis before committing

Compare Options

Evaluate different replacement scenarios side-by-side

Get Approvals

Route proposals through your organization’s review process

Track Progress

Monitor proposals from draft through implementation

While waiting for Proposals to launch, you can prepare by:

  1. Audit your assets - Know what equipment needs attention
  2. Research replacements - Identify efficient alternatives in catalogues
  3. Document priorities - List which replacements are most urgent
  4. Identify stakeholders - Know who needs to approve major changes
